## Common Scenarios & How to Use the System

### Scenario 1: Board Asks "When Will We Need More Capacity?"

**Your Answer in 10 Minutes:**

1. Go to **Capacity Analysis**
2. Look at utilization trend chart
3. Identify lines crossing 85% threshold
4. Note the **month/quarter** when it happens
5. Review CapEx recommendations
6. Screenshot and present

**Example Answer:**
> "Our Prismatic Assembly line will hit 85% capacity in Q2 2026. We need to invest $2M in a second line by Q4 2025 to avoid losing $5M in revenue."

### Scenario 2: CEO Asks "What If We Grow 20% Instead of 10%?"

**Your Answer in 5 Minutes:**

1. Go to **Daily Update**
2. Clone current assumption set → "Aggressive Growth"
3. Change product growth rates from 10% to 20%
4. Go to **Generate Projections** → Run both tabs
5. Go to **Compare Scenarios**
6. Select "Baseline" vs "Aggressive Growth"
7. Export comparison report

**Shows:**
- Revenue impact: +$X million
- Capacity impact: Need equipment by [date]
- Margin impact: +/- X%
- Cash flow impact: Working capital needs

### Scenario 3: Investor Asks "What's Your Break-Even?"

**Your Answer in 2 Minutes:**

1. Go to **Command Center → Product Line Overview**
2. Look at **Break-Even Status** KPI card
3. Shows: X% above/below break-even
4. Go to **Pro Forma Statements**
5. Scroll to **Break-Even Analysis** card
6. Shows:
   - Break-even revenue: $X
   - Actual revenue: $Y
   - Revenue gap: $Z
   - Status: Profitable / Below Break-Even

**Done.** Screenshot and send.

### Scenario 4: Month-End Close Shows Variance

**Your Response (Weekly Process):**

1. Go to **Variance Tracking**
2. Filter to products with >15% variance (red)
3. For each:
   - Review actual vs. projected
   - Identify reason (seasonality, market, one-time event)
   - Adjust forecast assumptions if persistent
4. Go to **Daily Update**
5. Update affected product growth rates
6. Regenerate projections next month

**Why This Matters:** Improves forecast accuracy over time. After 3-6 months, your forecasts should be within 5-10% consistently.

**When to Use:** Complex manufacturing with flexible routing

### Cost Allocation Methods

**Purpose:** Choose how overhead is allocated to products

**5 Methods Available:**
1. **Hybrid** (Recommended) - Blended approach
2. **Revenue-Based** - Based on revenue contribution
3. **Unit-Based** - Based on unit volume
4. **Space-Based** - Based on floor space used
5. **Fixed Percentage** - Equal allocation

**When to Use:** Analyzing true product profitability, transfer pricing, make-vs-buy decisions

### Scenario Modeler (Advanced Tools)

**Purpose:** Complex financing scenarios with debt/equity instruments

**Features:**
- Multiple financing sources

---

## Best Practices

### 1. Start Simple, Build Complexity

**Week 1:** Just get data in
- Auto-configure everything
- Generate first projections
- Review results

**Month 1:** Refine top items
- Focus on top 10 products
- Configure top 3 equipment lines
- Monthly regeneration routine

**Quarter 1:** Add sophistication
- Multiple scenarios
- Sensitivity analysis
- Variance tracking

### 2. Make It a Habit

**Daily:** 5-minute assumption update
**Weekly:** 15-minute variance review
**Monthly:** 30-minute strategic review
**Quarterly:** 2-hour board prep

### 3. Trust the Data, But Verify

- **Sanity check** first projections against historical
- **Adjust assumptions** if results seem off
- **Iterate** - It gets better with use

### 4. Use Scenarios for Decisions

Don't just forecast one future. Create:
- **Base Case** (most likely)
- **Optimistic** (if things go well)
- **Pessimistic** (if market softens)

Then make decisions that work in **all three** scenarios.

### 5. Communicate Capacity Constraints Early

The #1 benefit of this system: **Early warning of capacity issues**

When you see a line approaching 85% utilization:
- Alert COO immediately
- Start CapEx process (6-12 months lead time)
- Update board on timeline and investment needed

---

## Getting Help

### In-System Help

1. **Getting Started Page** - Overview of system
2. **Help Cards** - On each major page (right sidebar)
3. **Tooltips** - Hover over (?) icons

### Training Resources

1. This guide (print or bookmark)
2. Equipment Line Forecasting Guide (detailed technical doc)
3. Implementation team (for setup questions)

### Common Questions

**Q: How often should I regenerate projections?**
A: Monthly, after updating assumptions. More frequently if major changes occur.

**Q: How far out should I forecast?**
A: Equipment Lines: 3-5 years (strategic). Product Lines: 3-12 months (tactical).

**Q: What if my variances are consistently high (>15%)?**
A: Normal in first 3 months. Review assumptions, adjust growth rates, consider seasonality factors.

**Q: How do I present this to the board?**
A: Export Pro Forma to Excel. Include Capacity Analysis chart. Highlight key alerts from Command Center.

**Q: What's the difference between Equipment and Product forecasting?**
A: Equipment = Strategic, capacity-focused, 3-5 years. Product = Tactical, detailed, 3-12 months. Both feed into Pro Forma.

**Q: Can I delete old projections?**
A: System replaces old projections when you generate new ones. Keep different scenarios in separate assumption sets.

## Success Metrics (Your First 90 Days)

### Month 1: Learning
- ✅ Command Center is your daily starting page
- ✅ You've generated projections at least twice
- ✅ You understand the Business Line Rollup
- ✅ You've identified your top capacity bottleneck

### Month 2: Refining
- ✅ Variance tracking is part of your weekly routine
- ✅ You've adjusted assumptions based on actuals
- ✅ You're comfortable with Generate Projections page
- ✅ You've presented one forecast to leadership

### Month 3: Mastery
- ✅ You have 2-3 scenarios running (Base, Optimistic, Pessimistic)
- ✅ Your variance is consistently <15%
- ✅ You've used Sensitivity Analysis to answer a "what-if"
- ✅ Board presentations include Capacity Analysis
- ✅ You've identified CapEx needs 6+ months in advance

**When you hit these milestones, you're no longer learning the system—you're using it to make better decisions.**

---

## Conclusion

The Forecaster is not just a forecasting tool. It's a **strategic decision-support system** that:

1. ✅ Tells you when you'll hit capacity limits (before it's too late)
2. ✅ Quantifies CapEx needs with data-backed justification
3. ✅ Shows true profitability by business line
4. ✅ Provides board-ready financial projections
5. ✅ Enables scenario-based decision making

**Your Action Items:**
1. [ ] Bookmark Command Center as your daily starting page
2. [ ] Schedule 5 minutes every morning for Daily Update
3. [ ] Set calendar reminder for monthly projection regeneration
4. [ ] Create your first 3 scenarios (Base, Optimistic, Pessimistic)
5. [ ] Print this guide and keep it handy for first month

**Remember:** The system gets better with use. The more you update assumptions based on actuals, the more accurate your forecasts become. Within 90 days, you'll wonder how you made strategic decisions without it.
